Event Coordinator at USC Alumni Center

Salary Range:salary + commission

MAJOR DUTIES:

DUTIES AND RESPONSIBILITIES INCLUDE, but are not limited to:

  • Field incoming calls/emails and booking business
  • Recording all scheduled and non-scheduled visits keeping a data base of potential clients
  • Utilizing Southern Way’s catering system to record all details about proposed and booked events.
  • Utilize and manage event details in USC Alumni Center venue management system
  • Follow up with proposed and booked events
  • Develop relationships with clients and see each event through
  • Attend venue event meetings
  • Set up and attend Southern Way Bridal Shows
  • Set and organize schedule including tours and client meetings
  • Keep accurate field reports of each event as well as manage invoice data from each event after it occurs
  • Work with Director of Hospitality in booking event space and all rentals associated with event
  • Responsible for Opening/Closing building outside of 9am-5pm business hours, when necessary
  • Manage client feedback and customer survey results in coordination with the Director of Hospitality
  • Schedule and conduct all MCAC site visits.  Collect venue deposits and all signed contracts
  • Use Excel Tracker for payroll purposes
  • Any other duties requested by management

REQUIRED QUALIFICATIONS AND EDUCATION:

  • Hospitality and/or food service experience
  • Must be able to read and understand simple instructions
  • Strong communication skills
  • Available to work nights and weekends
  • Must be able to walk/stand for a significant amount of time
  • Must be able to regularly & repetitively bend, carry, climb, grasp, kneel, lift, pull, push, reach, sit, and twist

Assistant Manager to the Athletics Director

Job title:Administrative Assistant - Athletics

MAJOR DUTIES:

This position will play a key role in providing assistance to Director of Hospitality. Duties to include, but not limited to:

  • Enter in all information into the company software, providing as much detail as possible for club areas and special events.
  • Enter Suite orders for CLA and Founders Park events into Suite Wizard software.
  • Staff Schedules including collecting availability // maintaining monthly scheduling // assigning positions and sending details
  • Sending communications to staff members regarding scheduling and monthly updates
  • Recording and sending bi-weekly payroll time sheets to the Southern Way Catering Finance Department.
  • Creating staff paper work packets for games and special events
  • Assist Director of Hospitality in finalizing menus for special events
  • Assist Director in making sure updates are printed out and distributed to all staff
  • Draft layouts and create timelines for special events
  • Mange the creation of menu cards for each event
  • Assist in the operations and executions of events – ensure proper set up of rooms, beverage services, staff placement and help to oversee the full operation of the event
  • Order outsourced items as needed or as instructed by the Director of Hospitality
  • Anything additional deemed necessary by management

  • Perform side work by helping to provide a safe and clean work environment.

  • Punctuality and consistent attendance.
  • Any other duties requested by management
